Role |
Ukio’s Receptionist & Office Assistant is responsible for organizing and coordinating administration duties and office procedures across multiple markets, meanwhile focusing in our Head Quarter in Barcelona. The role has the main goal based on creating and maintaining a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.
In addition, creating, promoting and maintaining Ukio’s culture across all our teams and spaces are additional responsibilities to the role. At the end, be the Office ambassador!
Responsibilities |
Office Reception & Onboarding
- Act as Ukio’s main point of contact for visitors in the Barcelona office.
- Greet and support guests (clients, suppliers, candidates, etc.).
- Coordinate office welcome for new hires, assist with onboarding in other markets, and manage equipment delivery for remote employees.
Office Operations & Facilities
- Oversee office supplies, equipment, and vendor relationships (cleaning, catering, security, etc.).
- Ensure office maintenance, cleanliness, and daily readiness of common areas.
- Organize meeting rooms, coordinate repairs, and restock kitchen/breakfast supplies.
- Support logistics and deliveries for Ukio offices across Europe.
Employee Support & Events
- Manage reception of mail and packages, ensuring proper distribution.
- Handle employee office-related requests (stationery, travel, etc.).
- Support internal events (All Hands, Executive Meetings) with logistics and catering.
- Gather employee feedback and share with relevant teams.
People Team Collaboration
- Support and contribute to the People Newsletter (content, graphics, scheduling) as a collaborative team project.
- Contribute to broader People team projects and strategic initiatives.
About you |
- Valuable 1 year experience as an Office Assistant, Receptionist or Administrative Assistant
- Excellent time management skills and natural ability to multitask.
- Strong attention to detail.
- Strong organizational and planning skills in a fast-paced environment.
- Patience and intuitive skills are also a key parts of this role, each day is different and it’s important to be able to adapt.
- Problem-solving - the ability to identify the cause of issues, critically consider, and offer a range of potential solutions.
- Ability to stay calm in stressful situations.
- Excellent written and verbal communication skills both in English and Spanish
- Flexible, resilient and content with ambiguity and changes.
- Confident with working in cross-functional teams.
- Comfortable performing in a start-up environment.
