Role |

We are looking for a Legal Counsel to join our Finance team reporting to our Legal Counsel. Your main role will be to understand the company’s strategy and the potential legal issues that may arise in all of our jurisdictions. For that, you will be creating from scratch processes to ensure accuracy, efficiency and compliance across the business. You don't need to be an expert in any specific field but you need to know what resources to use to make sure Ukio is fully compliant and best defends the interests of the company, its employees, the clients, the suppliers and the partners.

Responsibilities |

Vendor management

  • Lead major vendor renegotiations across cleaning services, utilities, furniture suppliers, and SaaS platforms targeting 15-20% cost savings.
  • Establish dual-provider strategy with minimum two providers per service per market to reduce concentration risk. Negotiate payment terms extensions from the current ~20 days to 45-70 days to improve cash flow.
  • Manage cleaning service transitions including legal compliance for employee transfers under Spanish labor law.
  • Optimize utility contracts across all markets, where current WiFi costs range from €19 to €40 per apartment and energy contracts very significantly.

Cost optimization & spend management

  • Implement a SaaS license optimization program targeting 30% savings on software subscriptions through AI-powered auditing and benchmarking.
  • Establish a subscription approval process with centralized payment methods and manager workflows to eliminate unauthorized spending.
  • Drive furniture supplier negotiations leveraging increased spend volumes for better pricing and terms.
  • Monitor and control essential stock spending of €150k annually across 1,500 apartments with a 10% replacement rate.

Process & system implementation

  • Deploy a centralized vendor directory in Notion with vendor intelligence, pricing, SLA tracking, and contract renewal alerts.
  • Establish procurement workflows from vendor evaluation through contract execution and performance monitoring.
  • Implement a "No PO, No Pay" policy with proper approval hierarchies and expense controls.
  • Create vendor performance tracking with standardized rating systems and regular review processes.
  • Develop procurement reporting showing spend analysis, savings achieved, and vendor performance metrics.

Cross functional collaboration

  • Partner with the Finance team on invoice processing, payment optimization, and budget planning.
  • Support Operations teams with vendor relationship management and service quality issues.
  • Coordinate with the Legal team on contract negotiations, compliance requirements, and risk management.
  • Align with Supply Chain (when hired) for seamless handover of tactical procurement activities.

Strategic initiatives

  • Lead the procurement transformation from a decentralized market approach to a centralized efficiency model.
  • Establish vendor standardization reducing complexity while maintaining service quality across markets.
  • Drive innovation in supplier relationships including franchise models, technology partnerships, and strategic alliances.
  • Support M&A activities with vendor due diligence and integration planning.

About you |

  • +5 years of procurement experience in multi-location service businesses, preferably in hospitality, real estate, or facilities management.
  • Proven track record of achieving double-digit percentage cost savings through strategic negotiations and process improvements.
  • Skilled in vendor relationship management across diverse categories including technology, services, and physical goods.
  • Expertise in contract negotiation with a demonstrated ability to improve terms and reduce total cost of ownership.
  • Procurement systems proficiency with experience implementing vendor management platforms and approval workflows.
  • Financial analysis capabilities including spend analysis, TCO modeling, and ROI calculations.
  • Data-driven approach with ability to create reporting dashboards and present business cases to executives.
  • Fluent English required with Spanish proficiency highly preferred.
  • This role is based in Barcelona but requires availability to travel across Europe quarterly.
