This position is open exclusively to French citizens aged 18 to 28. A VIE is a professional assignment abroad carried out on behalf of a French company, managed through Business France. It is a fixed-term, full-time commitment in an international setting β€” a unique opportunity to gain meaningful professional experience while living and working abroad.

🌍 About the position

We are looking for a Back Office Assistant to join the team in Oslo on a 12-month VIE mission, starting in September. This is an operations-focused role, sitting at the heart of how the agency delivers on its promises to French-speaking travelers discovering Norway, Sweden, and Finland.

Once a trip is sold by the travel designer, you take the relay β€” building the travel booklet, coordinating bookings with local providers, and making sure every detail is in place before departure. You will also be the point of contact for travelers throughout their journey, handling questions, surprises, and feedback with professionalism. πŸ“‹ Operations & practical management

  • Coordinate bookings with local providers β€” hotels, activities, transport β€” ensuring accuracy and timely confirmation.

  • Keep provider information and rates up to date in the agency's internal tools.

  • Design and improve back office tools: travel booklets, departure planning, tracking systems.

  • Handle invoicing and billing for each traveler file in line with agency procedures.

✈️ Travel booklet creation & follow-up

  • Create personalised travel booklets for each trip sold by the travel design team.

  • Ensure booklets are sent to travelers within the expected timeframe.

  • Maintain clear and structured file management across active dossiers.

🌟 Customer care & quality during the trip

  • Act as a point of contact for travelers before, during, and after their journey.

  • Handle unexpected situations β€” delays, complaints, cancellations, refunds β€” with empathy and efficiency.

  • Collect post-trip feedback and evaluate traveler satisfaction to support quality improvement.

🌱 Responsible tourism

  • Maintain and develop quality relationships with the local supplier network, prioritising responsible and ethical partners.

  • Contribute occasionally to marketing and communication initiatives aligned with the agency's values.
