To support our growth and become a leader in the European consumer billing market we are looking for a Head of Workplace to join our team in Stockholm.

To support our growth and become a leader in the European consumer billing market we are looking for a Head of Workplace to join our team in Stockholm.

About the role:

As Head of Workplace at Billogram, you'll be the heart of our office culture and operations. You have overall responsibility for the company’s workplace, encompassing everything from the physical office environments to internal events. This includes defining and driving the workplace agenda, ensuring the office directly supports our business goals, and creating an outstanding employee experience.

The role covers everything from strategic planning to hands-on execution, such as managing daily office operations, leading new office openings and moves, overseeing workplace suppliers and planning events. Above all, you will ensure that the office runs smoothly. You will make sure that the coffee is freshly brewed, that the printer has paper, that our hybrid meeting rooms work perfectly, and that we have an inviting and welcoming environment.

Primary Responsibilities:

  • Own the Workplace Agenda: Take full responsibility for the office environment, ensuring it runs smoothly and supports both business goals and employee experience.
  • Ensure a Seamless Daily Operation: Have full control over all office activities and the related budget, including making sure all equipment works, the office is clean and well-stocked, and all practical needs are met.
  • Deliver Exceptional Service: Provide high-quality support to employees and visitors, managing everything from daily needs to internal communication about the office. You’ll be the go-to person for all workplace-related questions and needs.
  • Manage Vendor Relationships: Be the primary contact for our external suppliers. You'll manage relationships with vendors for everything from cleaning and security to catering and office supplies, ensuring all services meet the highest standards.
  • Create Magical Events: Take the lead on planning, budgeting, and executing our annual corporate conference and other internal events that strengthen our culture. You'll handle everything from vendor selection to on-the-day logistics, while collaborating closely with Marketing on event content.
  • Contribute to Safety and Security: Be an active member of the Work Environment Committee and ensure all fire routines and security protocols are maintained and up to date.

What will help you succeed:

  • Service-Oriented Experience: Several years of professional experience in a similar service-oriented role, such as a Workplace or Facilities Manager, or a similar position that required managing environments and delivering high-quality service.
  • Project & Event Leadership: Proven experience in planning and executing complex projects and events, such as office moves, renovations, or large-scale company conferences, with a strong focus on delivering high-quality results.
  • Budget Ownership: Demonstrated experience in owning and managing a budget, with a keen eye for optimizing expenditures and ensuring efficiency.
  • Supplier Management: A proven track record of managing supplier relationships, negotiating contracts, and ensuring services meet the highest standards.
  • Fluency in Swedish and English, both written and spoken, is required.
